Abstract:Better ideas emerge from interactions among diverse cohorts, so scientific research benefits from contributions from everyone. Diversity in gender, race, nationality, region of the world, and other orientations is essential to create an environment in which creative thinking thrives and in which scientific discovery finds a fruitful breeding ground 1 . However, this is not what you see if you look at many of the international conferences and workshops that are organized in the photonics field. They have solid lists of plenary and keynote speakers, but often these lists are not as diverse as they could be. Think back at the last three conferences you attended. How many of the talks you listened to were given by women or minority members of our photonic community? If you now think about your professional network, how many colleagues can you name that are women or are part of a minority group?

Abstract:Disparities for women and minorities in science, technology, engineering, and math (STEM) careers have continued even amidst mounting evidence for the superior performance of diverse workforces. In response, we launched the Diversity and Science Lecture series, a cross-institutional platform where junior life scientists present their research and comment on diversity, equity, and inclusion in STEM. We characterize speaker representation from 79 profiles and investigate topic noteworthiness via quantitative content analysis of talk transcripts. Nearly every speaker discussed interpersonal support, and three-fifths of speakers commented on race or ethnicity. Other topics, such as sexual and gender minority identity, were less frequently addressed but highly salient to the speakers who mentioned them. We found that significantly co-occurring topics reflected not only conceptual similarity, such as terms for racial identities, but also intersectional significance, such as identifying as a Latina/Hispanic woman or Asian immigrant, and interactions between concerns and identities, including the heightened value of friendship to the LGBTQ community, which we reproduce using transcripts from an independent seminar series. Our approach to scholar profiles and talk transcripts serves as an example for transmuting hundreds of hours of scholarly discourse into rich datasets that can power computational audits of speaker diversity and illuminate speakers' personal and professional priorities.

Abstract:This qualitative study explores perspectives of U.S.A.-based science communication researchers and practitioners who attended a symposium focused on advancing inclusive science communication (ISC). ISC is a growing global movement that aims to center equity, inclusion, and marginalized perspectives in science communication. Findings underscore the complexity of systemic barriers to ISC, the critical need for resource sharing and network building, and the importance of evaluation frameworks. The authors also highlight critical dialogue as a strategic tool that might help support intentional, reciprocal, and reflexive practices in science communication.

Abstract:Despite significant improvements over the last few generations, the discipline of mathematics still counts a disproportionately small number of women among its practitioners. These women are underrepresented as conference speakers, even more so than the underrepresentation of women among PhD-earners as a whole. This underrepresentation is the result of implicit biases present within all of us, which cause us (on average) to perceive and treat women and men differently and unfairly. These mutually reinforcing biases begin in primary school, remain active through university study, and continue to oppose women's careers through their effects on hiring, evaluation, awarding of prizes, and inclusion in journal editorial boards and conference organization committees. Underrepresentation of women as conference speakers is a symptom of these biases, but it also serves to perpetuate them; therefore, addressing the inequity at conferences is valuable and necessary for countering this underrepresentation. We describe in detail the biases against women in mathematics, knowing that greater awareness of them leads to a better ability to mitigate them. Finally, we make explicit suggestions for organizing conferences in ways that are equitable for female mathematicians.

Abstract:Abstract Large conferences lack diversity, as it has been demonstrated by analyses of several diversity measures. In the present contribution, we analyze the gender, country of affiliation and student status of the participants and presenters during four instances of a small European geoscience conference, as well as the length of presentation, number and tone of questions of the latest instance of this conference. Women make up about one‐third of participants, session chairs, invited keynote speakers, and presenters (oral and poster) on average but percentages vary greatly from one year to the next. Students represent around 30% of participants, but over 40% of poster presenters and 28% of long presentations. In total, only half of the participants asked a question and most of the questions were asked by senior men. Around 25% of the questions were asked with a friendly tone; the remainder were neutrally asked. Friendly questions were asked more frequently after keynote lectures and long presentations than following short talks. We suggest concrete actions that can be taken to promote the development of an inclusive and supportive environment at small conferences.

Abstract:Throughout scientific history, there have been cases of mainstream science dismissing novel ideas of less prominent researchers. Nowadays, many researchers with different social and academic backgrounds, origins and gender identities work together on topics of crucial importance. Still, it is questionable whether the privileged groups consider the views of underprivileged colleagues with sufficient attention. To profit from the diversity of thoughts, the scientific community first has to be open to minority viewpoints and epistemically include them in mainstream research. Moreover, the idea of inclusive science poses stronger requirements than the paradigm of open science. We argue that the concept of integration of different opinions is insufficient because the process of integration assumes adjusting oneself to the majority view and fitting into the dominant paradigm while contributing only with smaller amendments. Epistemic inclusion, on the other hand, means dynamically changing the research paradigm during the interaction with diverse methods and hypotheses. The process of inclusion preserves marginalized views and increases epistemic justice.

Instrumentation and Methods for Astrophysics

Abstract:Conference attendance is fundamental for a successful career in astronomy. However, many factors limit such attendance in ways that can disproportionately affect women and minorities more. In this white paper, we present the results of a survey sent to 164 research staff at the Space Telescope Science Institute to determine what reasons motivate their attendance at science conferences and what aspects prevent researchers from attending them. The information collected through this survey was used to identify trends both in aggregate form and split by gender and if respondents had dependents. We propose a set of recommendations and best practices formulated by analyzing these trends. If consistently adopted, these recommendations will achieve greater diversity in astronomy through the broadening of conference participation.

Abstract:Abstract As the global health crisis unfolded, many academic conferences moved online in 2020. This move has been hailed as a positive step towards inclusivity in its attenuation of economic, physical, and legal barriers and effectively enabled many individuals from groups that have traditionally been underrepresented to join and participate. A number of studies have outlined how moving online made it possible to gather a more global community and has increased opportunities for individuals with various constraints, e.g., caregiving responsibilities. Yet, the mere existence of online conferences is no guarantee that everyone can attend and participate meaningfully. In fact, many elements of an online conference are still significant barriers to truly diverse participation: the tools used can be inaccessible for some individuals; the scheduling choices can favour some geographical locations; the set-up of the conference can provide more visibility to well-established researchers and reduce opportunities for early-career researchers. While acknowledging the benefits of an online setting, especially for individuals who have traditionally been underrepresented or excluded, we recognize that fostering social justice requires inclusivity to actively be centered in every aspect of online conference design. Here, we draw from the literature and from our own experiences to identify practices that purposefully encourage a diverse community to attend, participate in, and lead online conferences. Reflecting on how to design more inclusive online events is especially important as multiple scientific organizations have announced that they will continue offering an online version of their event when in-person conferences can resume.

Abstract:ABSTRACT The third International Student Symposium on Animal Behaviour and Cognition (ISSABC) aimed to address barriers for early career researchers, hosting a conference both in-person and online at the Universidad Nacional Autónoma de México (UNAM). The conference, attended by 101 in-person and 79 virtual participants from 24 countries, featured 81 presentations, 29 posters, five plenary talks, three workshops, and a career development round-table discussion. A user-friendly website and digital platforms facilitated communication and real-time discussions between in-person and online participants. Transparent fund management, support from sponsors and societies, and sustainable practices ensured financial accountability and minimised environmental impact. The conference emphasised sustainability measures, including eco-friendly catering and local reusable mugs. Future organisers of similar events are encouraged to prioritise local representation, plan contingencies, select plenary speakers rigorously, and employ effective marketing. With this meeting review, we highlight how hybrid conferences like the third ISSABC, through innovative approaches and sustainable practices, enhance accessibility, inclusivity, and empower the next generation of scientists.

Abstract:Inclusion at academic events is facing increased scrutiny as the communities these events serve raise their expectations for who can practically attend. Active efforts in recent years to bring more diversity to academic events have brought progress and created momentum. However, we must reflect on these efforts and determine which underrepresented groups are being disadvantaged. Inclusion at academic events is important to ensure diversity of discourse and opinion, to help build networks, and to avoid academic siloing. All of these contribute to the development of a robust and resilient academic field. We have developed these Ten Simple Rules both to amplify the voices that have been speaking out and to celebrate the progress of many Equity, Diversity, and Inclusivity practices that continue to drive the organisation of academic events. The Rules aim to raise awareness as well as provide actionable suggestions and tools to support these initiatives further. This aims to support academic organisations such as the Deep Learning Indaba, Neuromatch Academy, the IBRO-Simons Computational Neuroscience Imbizo, Biodiversity Information Standards (TDWG), Arabs in Neuroscience, FAIRPoints, and OLS (formerly Open Life Science). This article is a call to action for organisers to reevaluate the impact and reach of their inclusive practices.

Abstract:Conferences are spaces to meet and network within and across academic and technical fields, learn about new advances, and share our work. They can help define career paths and create long-lasting collaborations and opportunities. However, these opportunities are not equal for all. This article introduces 10 simple rules to host an inclusive conference based on the authors' recent experience organizing the 2021 edition of the useR! statistical computing conference, which attracted a broad range of participants from academia, industry, government, and the nonprofit sector. Coming from different backgrounds, career stages, and even continents, we embraced the challenge of organizing a high-quality virtual conference in the context of the Coronavirus Disease 2019 (COVID-19) pandemic and making it a kind, inclusive, and accessible experience for as many people as possible. The rules result from our lessons learned before, during, and after the organization of the conference. They have been written mainly for potential organizers and selection committees of conferences and contain multiple practical tips to help a variety of events become more accessible and inclusive. Abstract:Efforts to increase inclusion in science face multiple barriers, including cultural and social behaviors in settings such as academic conferences. Conferences are beneficial, but the culture can promote inequities and power differentials that harm historically underrepresented groups. Science suffers when conference culture propagates exclusion and discrimination that leads to attrition of scientists. Codes of conduct represent a tool to shift conference culture to better support diverse scientists and clearly detail unacceptable behaviors. We examined the prevalence and content of codes of conduct at biology conferences in the United States and Canada. We highlight how codes of conduct address issues of sexual misconduct and identity-based discrimination. Surprisingly, only 24% of the 195 surveyed conferences had codes. Of the conferences with codes, 43% did not mention sexual misconduct and 17% did not mention identity-based discrimination. Further, 26% of these conferences failed to include a way to report violations of the code and 35% lacked consequences for misconduct. We found that larger and national conferences are more likely to have codes than smaller (P = 0.04) and international or regional (P = 0.03) conferences. Conferences that lack codes risk creating and perpetuating negative environments that make underrepresented groups feel unwelcome, or worse, actively cause harm. We recommend that conferences have codes that are easily accessible, explicitly address identity-based discrimination and sexual misconduct, provide channels for anonymous impartial reporting, and contain clear consequences. These efforts will improve inclusivity and reduce the loss of scientists who have been historically marginalized.
A Toolkit for Democratizing Science and Technology Policy: The Practical Mechanics of Organizing a Consensus Conference

Abstract:A widely touted approach to involving laypeople in science and technology policy-related decisions is the consensus conference. Virtually nothing written on the topic provides detailed discussion of the many steps from citizen recruitment to citizen report. Little attention is paid to how and why the mechanics of the consensus conference process might influence the diversity of the participants in theses fora, the quality of the deliberation in the citizen sessions, the experiences of the participants and organizers, and other outcomes that affect democratic decision making within the conference and more broadly over the long term. As an aid to those interested in utilizing the consensus conference format, the authors outline in detail how they set about organizing their consensus conference on nanotechnology in the spring of 2005. They discuss what specific aspects of their consensus conference worked, and why, and also consider what they learned of relevance to future application.
PreDefense: Defending Underserved AI Students and Researchers from Predatory Conferences

Abstract:Mentorship in the AI community is crucial to maintaining and increasing diversity, especially with respect to fostering the academic growth of underserved students. While the research process itself is important, there is not sufficient emphasis on the submission, presentation, and publication process, which is a cause for concern given the meteoric rise of predatory scientific conferences, which are based on profit only and have little to no peer review. These conferences are a direct threat to integrity in science by promoting work with little to no scientific merit. However, they also threaten diversity in the AI community by marginalizing underrepresented groups away from legitimate conferences due to convenience and targeting mechanisms like e-mail invitations. Due to the importance of conference presentation in AI research, this very specific problem must be addressed through direct mentorship. In this work, we propose PreDefense, a mentorship program that seeks to guide underrepresented students through the scientific conference and workshop process, with an emphasis on choosing legitimate venues that align with the specific work that the students are focused in and preparing students of all backgrounds for future successful, integrous AI research careers.

Abstract:Scientific research aims to bring forward innovative ideas and constantly challenges existing knowledge structures and stereotypes. However, women, ethnic and cultural minorities, as well as individuals with disabilities, are systematically discriminated against or even excluded from promotions, publications, and general visibility. A more diverse workforce is more productive, and thus discrimination has a negative impact on science and the wider society, as well as on the education, careers, and well-being of individuals who are discriminated against. Moreover, the lack of diversity at scientific gatherings can lead to micro-aggressions or harassment, making such meetings unpleasant, or even unsafe environments for early career and underrepresented scientists. At the Organization for Human Brain Mapping (OHBM), we recognized the need for promoting underrepresented scientists and creating diverse role models in the field of neuroimaging. To foster this, the OHBM has created a Diversity and Inclusivity Committee (DIC). In this article, we review the composition and activities of the DIC that have promoted diversity within OHBM, in order to inspire other organizations to implement similar initiatives. Activities of the committee over the past four years have included (a) creating a code of conduct, (b) providing diversity and inclusivity education for OHBM members, (c) organizing interviews and symposia on diversity issues, and (d) organizing family-friendly activities and providing childcare grants during the OHBM annual meetings. We strongly believe that these activities have brought positive change within the wider OHBM community, improving inclusivity and fostering diversity while promoting rigorous, ground-breaking science. These positive changes could not have been so rapidly implemented without the enthusiastic support from the leadership, including OHBM Council and Program Committee, and the OHBM Special Interest Groups (SIGs), namely the Open Science, Student and Postdoc, and Brain-Art SIGs. Nevertheless, there remains ample room for improvement, in all areas, and even more so in the area of targeted attempts to increase inclusivity for women, individuals with disabilities, members of the LGBTQ+ community, racial/ethnic minorities, and individuals of lower socioeconomic status or from low and middle-income countries. Here, we present an overview of the DIC's composition, its activities, future directions and challenges. Our goal is to share our experiences with a wider audience to provide information to other organizations and institutions wishing to implement similar comprehensive diversity initiatives. We propose that scientific organizations can push the boundaries of scientific progress only by moving beyond existing power structures and by integrating principles of equity and inclusivity in their core values.

Abstract:Most scientists agree that interacting with the public is a worthwhile endeavor, but participation in science outreach remains fairly low among biologists. Furthermore, current practices in science outreach remain largely based on ineffective communication models that may undermine public trust and interest. I argue that, in trying to improve both participation rates and the effectiveness of science outreach, we must take a more scientific approach, and we must practice outreach with the same rigor as the science that we share with the public. Here, I describe common misconceptions that can undermine the value of science communication with the public at many scales. I then describe an evidence-based, iterative, evaluative framework for biologists at all career stages to pursue public engagement in the biological sciences. These guidelines can also inform formal outreach training for scientists, specifically in promoting dialogue and engagement.
