Abstract:ADASS has been a successful conference series for 24 years. If it is to continue to be successful and relevant we need to ensure that it provides what we as a community need from an annual conference. Earlier this year the ADASS Program Organising Committee conducted a survey on the content, style and governance of ADASS, in order to ascertain the conference needs of our community of astronomy software, methods and algorithms providers and users. 140 people participated in the survey: familiar faces, newcomers and a significant number of people who have yet to attend an ADASS. We summarise the Birds of a Feather session held on 7 October 2014, which discussed the findings of the survey and the shape that the community would like future ADASS meetings to take: What do we like of the current format? What would we change? What can we do to make ADASS fit our current and future needs? If we are to ensure that ADASS is vibrant, interesting and at the cutting edge of our subject we need to take collective responsibility for shaping its future.

Abstract:The virtual meeting was a success. Several people told us that this was "the best virtual meeting they had seen so far", which, a year into the pandemic and without a commercial provider in the back, is a great success. The biggest point of criticism was the timing: We had programming from UTC 17:00-22:00 (evening and night in central Europe, afternoon on the US East Coast, during the day in South America and on the US West coast, but in the middle of the night for Asia and Australia). There is no good solution, but at least some variation in session time might go a long way to make it easier for all to attend at least some sessions. Feedback also indicates that the schedule was too compressed. Poster sessions and social contacts with the tool Gathertown worked out really well for all that used it. Our way of combining several services (Zoom for plenary and break-out rooms, Zenodo for uploading and viewing posters and proceedings, Google forms for registration and abstract submission, gathertown) allowed for a very low-cost meeting with little overhead (total cost: 600 $ for gathertown, zoom was provided through an institutional subscription, just 4 people on the LOC).
Online conferences as an opportunity to enhance inclusiveness in animal behaviour and welfare research: A case study of the ISAE 2020 virtual meeting

Abstract:The COVID-19 pandemic caused worldwide disruptions and changes, including in the way research was conducted. One aspect was the cancellation of in-person scientific conferences and the rapid replacement of some into virtual conferences. The aim of this study is to highlight the opportunities that virtual conferences can bring to animal behaviour and welfare research, with a focus on regional diversity and early career researchers (ECRs). The ISAE 2020 virtual meeting was used as a case study. Firstly, conference attendance was compared to the ISAE 2019 in-person international congress. Secondly, a post-conference survey was conducted (n = 142 responses). Data were analysed quantitatively (multinomial models) and qualitatively (word classifications). The organisation by geographical region attracted many non-local attendees and positive feedback was received on the global perspective. The participation from the ISAE developing regions AFRICA (Africa/Central Asia/Middle East), ASIA (South/East/Southeast Asia) and LATAM (Latin America) was higher as compared to the in-person conference (p < 0.001). The most valued advantage for the virtual conference was the reduced cost, followed by the increased ability to participate and the reduced environmental footprint. The most valued advantages did not differ between regions or attendees of different career stages, but an interaction showed that the ability to participate was more appreciated by ECRs in developing regions (p < 0.05). Over 75 % of the respondents ranked the absence of social interaction as the most important disadvantage. Respondents from developed regions were more likely to attend a future virtual conference with a registration fee as compared to those from developing regions (p < 0.05). Respondents most enjoyed the organisation, flexibility, quality of presentations and regional diversity from their virtual experience. This study showed that within applied animal behaviour and welfare science, the virtual format of an international conference can promote participation from diverse regions, especially from less financially privileged groups, but attention should be paid to enhance the social element of a virtual conference.

A report on the first virtual PLDI conference

Abstract:This is a report on the PLDI 2020 conference, for which I was General Chair, which was held virtually for the first time as a result of the COVID-19 pandemic. The report contains: my personal reflections on the positive and negative aspects of the event; a description of the format of the event and associated logistical details; and data (with some analysis) on attendees' views on the conference format, the extent to which attendees engaged with the conference, attendees' views on virtual vs. physical conferences (with a focus on PLDI specifically) and the diversity of conference registrants. I hope that the report will be a useful resource for organizers of upcoming virtual conferences, and generally interesting to the Programming Languages community and beyond.

Abstract:The Astrobiology Graduate Conference (AbGradCon) is an annual conference both organized for and by early career researchers, postdoctoral fellows, and students as a way to train the next generation of astrobiologists and develop a robust network of cohorts moving forward. AbGradCon 2021 was held virtually on September 14-17, 2021, hosted by the Earth-Life Science Institute (ELSI) of Tokyo Institute of Technology after postponement of the in-person event in 2020 due to the COVID-19 pandemic. The meeting consisted of presentations by 120 participants from a variety of fields, two keynote speakers, and other career building events and workshops. Here, we report on the organizational and executional aspects of AbGradCon 2021, including the meeting participant demographics, various digital aspects introduced specifically for a virtual edition of the meeting, and the abstract submission and evaluation process. The abstract evaluation process of AbGradCon 2021 is unique in that all evaluations are done by the peers of the applicants, and as astrobiology is inherently a broad discipline, the abstract evaluation process revealed a number of trends related to multidisciplinarity of the astrobiology field. We believe that meetings like AbGradCon can provide a unique opportunity for students and early career researchers in astrobiology to experience community building, inter- and multidisciplinary collaboration, and career training and would be a welcome sight in other fields as well. We hope that this report provides inspiration and a basic roadmap for organizing future conferences in any field with similar goals.

Transforming a doctoral summer school to an online experience: A response to the COVID-19 pandemic

Abstract:For the last 28 years, one of the leading international science education organisations has regularly provided a week-long summer school experience for doctoral students. In summer 2020, the COVID-19 pandemic prevented international travel and close-contact interactions between scholars. This required the transformation and relocation of learning interactions between mentors and doctoral students online through a virtual week-long summer school. All doctoral participants, from across the five continents, were invited to reflectively comment on their educative experience after the online event. This paper consequently presents the perspectives of these science education PhD students who engaged with the transformed virtual summer school to consider how the range of varied online interactions maintained the learning opportunities for them and enabled their introduction to an established research community. The study indicates how the digital activities facilitated and maintained high-quality learning exchanges through a varied array of intellectual activities involving both experienced and novice scholars. The findings demonstrate how successful academic outcomes can be achieved remotely while minimising international travel and significantly reducing financial outlay. This was achieved through creatively structuring a week-long virtual experience and combining a series of synchronous and asynchronous learning opportunities for different groupings of participants within the international summer school community.
Perceived Advantages and Disadvantages of Online Continuing Professional Development (CPD) During COVID-19: CPD Providers' Perspectives

Abstract:COVID-19 precipitated many CPD providers to develop new technology competencies to create effective online CPD. This study aims to improve our understanding of CPD providers' comfort level, supports, perceived advantages/disadvantages, and issues in technology-enhanced CPD delivery during COVID-19. A survey was distributed to CPD providers at the University of Toronto and members of the Society for Academic Continuing Medical Education and analyzed using descriptive statistics. Of the 111 respondents, 81% felt very to somewhat confident to provide online CPD, but less than half reported IT, financial, or faculty development supports. The top reported advantage to online CPD delivery was reaching a new demographic; top disadvantages included videoconferencing fatigue, social isolation, and competing priorities. There was interest in using less frequently used educational technology such as online collaboration tools, virtual patients, and augmented/virtual reality. COVID-19 precipitated an increased comfort level in using synchronous technologies to provide CPD, giving the CPD community an increased cultural acceptance and skill level to build on. As we move beyond the pandemic, it will be important to consider ongoing faculty development, particularly toward asynchronous and HyFlex delivery methods to continue expand CPD reach and negate negative online experiences such as videoconferencing fatigue, social isolation, and online distractions.

Abstract:Introduction: The specific context related to the COVID-19 pandemic necessitated the implementation of distance learning continuity for students. In France, teachers and radiography students in initial training, not specially prepared for this, had to adapt. An evaluation of the system was proposed to the students. Materials and methods: An anonymous online questionnaire with 4 main sections (pedagogy, communication, learning and concerns) was sent to 91 students at the end of the semester. Results: 91 responses were received. The slideshows with sound or presented during a virtual class are appreciated by the students. Online quizzes are ideal for learning/reviewing. For assessments, individual assignments and online questionnaires are appreciated. Teacher/student interaction via e-mail or video conferencing was considered satisfactory by the large majority of students. Student-student interactions via social networks, for course explanations or document exchange, are very suitable. The majority of students felt they were working a lot and much more compared to face-to-face teaching. Less than half of the students worked more than 20 h per week. Their motivation varied widely. Organizational habits were disrupted, but the autonomy granted was appreciated. The students were mainly concerned about the health of their loved ones and not about their own health. Discussion: The use of distance education tools requires teacher commitment and technical skills. The frequency of communication by e-mail and/or videoconference between members of the teaching team and students must be adapted to the situation. Exchanges by e-mail allow for traceability, while videoconferencing allows direct interaction and a way out of isolation. Autonomy, appreciated by the students, was nevertheless combined with a strong variation in motivation; the anxiety-provoking period in which pedagogical continuity was built up may explain this contradictory observation. Conclusion: The results obtained largely confirm the data in the literature. The experience gained through this survey should lead teachers to continue their reflection by test/integrating and evaluating distance education systems, while continuing face-to-face activities.
Experimental, ad hoc, online, inter-university student e-contest during the pandemic: Lessons learned

Abstract:We are reporting on lessons learned from an e-contest for students held during the current pandemic. We compare the e-contest with the 10 previous editions of the same but face-to-face contest. While apparently the competition did not suffer because of being a virtual one, some disadvantages were noted. The main conclusions are: the basic interconnectivity means arise no serious technical issue, but the interconnectivity is more limited than the face-to-face one; online jury-competitors interactivity is poorer than face-to-face interactivity; human factors, higher uncertainties in the organization process, and less time to spend in the process for the local organizers are major limiting factors; concerns on the participation and evaluation fairness are higher; involuntary gender discrimination seems lower, but persists; there are serious concerns related to privacy, including differential privacy; some peculiarities of the presented topics and of the evaluation process emerged, but it is unclear if they are related to the online nature of the competition, to the extra stress on the participants during the pandemic, to other factors, or are random. While some conclusions may be intimately related to the analyzed case, some are general enough for being worth to other online competitions.

Abstract:In this paper we provide an account of how we ported a text and data mining course online in summer 2020 as a result of the COVID-19 pandemic and how we improved it in a second pilot run. We describe the course, how we adapted it over the two pilot runs and what teaching techniques we used to improve students' learning and community building online. We also provide information on the relentless feedback collected during the course which helped us to adapt our teaching from one session to the next and one pilot to the next. We discuss the lessons learned and promote the use of innovative teaching techniques applied to the digital such as digital badges and pair programming in break-out rooms for teaching Natural Language Processing courses to beginners and students with different backgrounds.
Maintaining scientific discourse during a global pandemic: ESO's first e-conference #H02020

Abstract:From 22 to 26 June 2020, we hosted ESO's first live e-conference, #H02020, from within ESO headquarters in Garching, Germany. Every day, between 200 and 320 researchers around the globe tuned in to discuss the nature and implications of the discord between precise determinations of the Universe's expansion rate, H0. Originally planned as an in-person meeting, we moved to the virtual domain to maintain strong scientific discourse despite the SARS-CoV-2 (COVID-19) pandemic. Here, we describe our conference setup, participants feedback gathered before and after the meeting, and lessons learned from this unexpected exercise. As e-conferencing will become increasingly common in the future, we provide our perspective on how e-conferences can make scientific exchange more effective and inclusive, in addition to climate friendly.

Abstract:Due to the SARS-CoV-2 pandemic, many changes can be observed in almost all life situations, perhaps most notably, in the educational sector. In this context, concepts of learning counselling must be given more attention. This research contribution examines the question of how collaborative online tools to support the teaching-learning processes in higher education and vocational schools can be utilized. The aim is to improve the existing learning environment. For this purpose, the frequency of the usage of tools such as tests and forums on an open-source online learning platform ILIASTM was analysed and discussed. In addition, the Adobe ConnectTM web meeting software to be used in online teaching scenarios was also included in our investigation to explore the exchange of participants via discussion forums or virtual classrooms. The research team carried out an online sampling survey of ILIASTM users at one university and five vocational schools in Germany in June 2020. The survey included these measures: Single answers, multiple answers, questions of scale, and free text questions. The response rate at the university was 25.10 % and at the vocational schools 17.2%. The data were evaluated with the help of descriptive statistics to determine frequency distributions and mean value calculations. This contribution will lead to a discussion regarding the continued disclosure of the learning potentials about a useful combination of both tools ILIASTM and Adobe ConnectTM. The results shown suggest that the development towards virtual teaching scenarios, which has become a necessity under the forced conditions of the lockdowns, has a tremendous effect on teaching and learning processes in terms of didactics tailored to different target groups and needs in and outside the classroom. Abstract:The COVID-19 pandemic disrupted the usual ways the networking research community operates. This article reviews experiences organising and participating in virtual conferences during the COVID-19 pandemic between 2020-2021. Thanks to the broader scope of the Dagstuhl seminar on 'Climate Friendly Internet Research' held in July 2021, here we focus the discussion on state-of-the-art in technologies and practices applied in online events such as conferences, teaching, and other meetings and identify approaches that are successful as well as others that need improvement. We also present a set of best practices and recommendations for the community.

Long-Term Educator Professional Development in Online Instruction and Assessment during Pandemic Teaching

Abstract:Educators were forced into emergency remote teaching due to COVID-19. Educational grants through the Governor's Emergency Education Relief (GEER) fund provided assistance. A regional university partnered with a local educational service center to use GEER funds to prioritize P-12 teacher professional development in online instruction. The partnership revamped a 12-credit hour four-course graduate certificate program in online learning and assessment, co-taught by university faculty and K-12 community partners, enrolling 58 local educators across 42 school districts in free graduate courses during the 2020-2021 academic year. With a 95% completion rate, this long-term professional development met educators' needs, including how to simultaneously teach face-to-face and at-home students in changing school environments. This descriptive study gathered educator perceptions regarding how the courses impacted their ability to learn and use best practices in technology integration with their students, and support colleagues as they created district-specific professional development and developed into technology leaders.
Designing an Inclusive and Engaging Hybrid Event: Experiences from CHIWORK

Abstract:Conferences are a key place for training and education. Attendees learn about the state of the art of their field, about relevant methods, and acquire networking skills that can support their work. In the world that was changed by the COVID-19 pandemic, we often need to organize hybrid training and education events, including conferences, with both in-person and remote attendees. Both organizers and attendees are eager for events that are productive, safe, and that bring together a diverse group of our colleagues, across multiple fields of study, multiple countries, as well as with different capacities to travel and attend in-person and remote meetings. However, the best practices for such hybrid events are still under development. In this document we hope to contribute to this development of best practices: we report on our experiences in organizing a small, hybrid conference, and provide the lessons we learned through this process.

Transitioning to a new era: Future directions for staff development during COVID-19

Abstract:The COVID-19 pandemic created an urgent need for staff development. However, COVID-19 has created many challenges, including the inability to meet in-person, travel restrictions to conferences, overwhelming clinical demands on already overextended faculty members and the increased need to focus on personal health and safety. Although current challenges were immediately met with solutions borne out of an emergency, questions remain on how to identify and sustain best practices and further evolve staff development beyond the immediate crisis. Reviewing the Medical Adaptations series revealed several lessons. Several authors used cognitive apprenticeship to provide scaffolding upon which learners can build skills, knowledge and attitudes. Additionally, moderators were recommended during live educational sessions in order to manage the chat box and engage the audience. Comprehensive IT support was key. A post-session debrief helped deepen understanding and provided a space for peer support and community building. Building a repository for educational materials was recommended. Although we made significant gains in the ability to offer staff development, we must consider potential and unintended consequences and explore how we can use transformative learning theory to capitalize on what we have gained. Utilizing technology can potentially increase access to online learning; however, when not implemented carefully, it can magnify inequities. While providing IT support can serve to mitigate some inequities borne by socioeconomic and generational differences, additional strategies should be implemented to account for English as a second-language learners; those with disabilities who do not have access to adaptive technology; and other marginalized groups who may already feel vulnerable to presenting arguments in oppositions of authority or the majority. Crafting online education experiences to allow for small group, peer-to-peer and social interactions is vital to continued professional and identity development. Now that the urgency has lessened, taking time to ensure what is being offered follows best practices in developing and disseminating quality online education is paramount for broad acceptance.

Abstract:Purpose: The objective of this study is to examine the impact of AI and BDA in education in the light of stakeholder apprehensions by examining the complex interplay between issues connected to AI and several other elements such as the integration of AI, use of BDA, past technological experience, computer anxiety, societal uneasiness, and the incorporation of user-centred design principles. This provides valuable perspectives and approaches for effectively incorporating AI into the field of education, with a particular focus on the significance of cultural context and diversity. Methodology: A structured questionnaire survey was conducted with a total of 398 participants. Various distribution mechanisms were employed for data collection. Using Likert-type scales, the survey evaluated the levels of AI-induced anxiety, AI integration, BDA, previous technological experience, computer and social anxiety, and user-centered design. To determine the trustworthiness and accuracy of the measuring tool, an initial evaluation was conducted using Cronbach's Alpha and inter-item correlations. Following this, statistical methods were utilised to conduct hypothesis testing and examine the correlations between constructs during data analysis. Findings: The research indicates that BDA has a positive effect, while AI-induced apprehension (AIA) detrimentally impacts AI integration in education. Previous technological experience enhances individuals' confidence and motivation when integrating technology into their lives. However, computer and social anxiety are obstacles and lead to hesitancy and resistance. The concept of User-Centered Design facilitates the integration process by emphasising the development of intuitive interfaces that are easy for users to navigate. The function of cultural context is of great importance in AI and user-centred design, as well as in individuals' prior technological experience. Value: The value of this research is to offer valuable perspectives and practical resolutions for enhancing the adoption of technology in the field of education while considering the influence of cultural diversity. This endeavour effectively acknowledges a significant deficiency in the existing body of scholarly work and contributes to the ongoing discourse on incorporating technology in educational settings worldwide.

Abstract:Academic conferences are an indispensable component of contemporary science, giving researchers the opportunity to present the results of recent investigations, become familiar with other scholars' studies, and build and expand a network for future collaborations. However, the impact of the COVID-19 pandemic has caused the format of academic conferences to shift, leading virtual conferences to become increasingly popular in the academic environment. Along the way, practical online tools used to organize a virtual academic conference have attained prominence. This study evaluates the various features that service providers currently offer, having thoroughly investigated many tools that are currently on the market. The discussion categorizes these online tools into three groups based on function: event management tools, submission management tools, and online conferencing tools. The study findings contribute to conference organizers' ability to determine useful features for conducting a virtual academic conference.
