Abstract:In 2020, virtual conferences became almost the only alternative to cancellation. Now that the pandemic is subsiding, the pros and cons of virtual conferences need to be reevaluated. In this report, we scrutinize the dynamics and economics of conferences and highlight the history of successful virtual meetings in industry. We also report on the attitudes of conference attendees from an informal survey we ran in spring 2022.

Abstract:The development and availability of immersive VR devices has risen significantly in recent years. Combined with the latest milestones in computer graphics and the current motion tracking devices a certain feeling of presence inside the virtual world can be achieved which is aiming (or wishing) to be indistinguishable from the real world in the long term. Although this aspiration may be visionary at the present day, the possibilities of collaborative human interactions within a virtual reality system are already manifold. In this work we focus on the development and evaluation of a virtual reality conferencing application prototype supporting personalized user-based avatars for up to four persons joining remotely in a virtual conference room. The prototype has been evaluated in terms of the feeling of presence experienced inside the applications virtual environment when wearing a virtual reality headset and when using the application in desktop mode, respectively. The results of the conducted experiments indicate a positive impact on the feeling of presence by users wearing virtual reality headsets as compared to the group without headsets.

Abstract:Scientific conferences play an important role in advancing research, scholarship, and the careers of emerging scientists. The COVID-19 pandemic offered meeting organizers and researchers alike an opportunity to reimagine what scientific conferences could look like. Virtual conferences can increase inclusivity and accessibility while decreasing costs and carbon emissions. However, it is generally perceived that the digital world fails to adequately recapitulate many of the benefits of in-person face-to-face interactions; these include socializing, and collaborative environments that can forge new research directions and provide critical career development opportunities. On November 15 and 16, 2022, researchers, representatives from diverse scientific conference organizations, leaders in virtual platform technologies, and innovators in conference design gathered online for the Open Access Keystone eSymposium "Reimagining Scientific Conferences." The meeting focused on how conference organizers can leverage lessons from the pandemic and emerging virtual platforms to engage new audiences, rethink strategies for scientific exchange, and decrease the carbon footprint of in-person events.

Abstract:New conference formats are emerging in response to COVID-19 and climate change. Virtual conferences are sustainable and inclusive regardless of participant mobility (financial means, caring commitments, disability), but lack face-to-face contact. Hybrid conferences (physical meetings with additional virtual presentations) tend to discriminate against non-fliers and encourage unsustainable flying. Multi-hub conferences mix real and virtual interactions during talks and social breaks and are distributed across nominally equal hubs. We propose a global multi-hub solution in which all hubs interact daily in real time with all other hubs in parallel sessions by internet videoconferencing. Conference sessions are confined to three equally-spaced 4-h UTC timeslots. Local programs comprise morning and afternoon/evening sessions (recordings from night sessions can be watched later). Three reference hubs are located exactly 8 h apart; additional hubs are within 2 h and their programs are aligned with the closest reference hub. The conference experience at each hub depends on the number of local participants and the time difference to the nearest reference. Participants are motivated to travel to the nearest hub. Mobility-based discrimination is minimized. Lower costs facilitate diversity, equity, and inclusion. Academic quality, creativity, enjoyment, and low-carbon sustainability are simultaneously promoted.
The Future of Virtual Classroom: Using Existing Features to Move Beyond Traditional Classroom Limitations

Abstract:This paper argues that the true potential of virtual classrooms in education is not fully exploited yet. The features available in most environments that have been incorporated as virtual classrooms are classified into two groups. The first group includes common features, related only to the emulation of a traditional classroom. In this group, the practical differences between traditional and virtual classroom are discussed. In addition, best practices that could aid the professors to make students feel like participating in a typical classroom are presented. The second group comprises of advanced features and practices, which extend the traditional classroom. In this group, examples of successful practices which could not be performed in a traditional classroom are introduced. Finally, a qualitative study with interviews of 21 experts from 15 countries is presented, showing that even these experts are not fully exploiting the advanced features that contemporary virtual classroom environments are offering.

Abstract:The emergence of the world-wide COVID-19 pandemic has forced academic conferences to be held entirely in a virtual manner. While prior studies have advocated the merits of virtual conferences in terms of energy and cost savings, organizers are increasingly facing the prospect of planning and executing them systematically, in order to deliver a rich conference-attending-experience for all participants. Starting from March 2020, tens of conferences have been held virtually. Past conferences have revealed numerous challenges, from budget planning, to selecting the supporting virtual platforms. Among these, two special challenges were identified: 1) how to deliver talks to geo-distributed attendees and 2) how to stimulate social interactions among attendees. These are the two important goals of an academic conference. In this paper, we advocate a mirror program approach for academic conferences. More specifically, the conference program is executed in multiple parallel (mirrored) programs, so that each mirror program can fit a different time zone. This can effectively address the first challenge.

Abstract:In recent years, everyday activities such as work and socialization have steadily shifted to more remote and virtual settings. With the COVID-19 pandemic, the switch from physical to virtual has been accelerated, which has substantially affected almost all aspects of our lives, including business, education, commerce, healthcare, and personal life. This rapid and large-scale switch from in-person to remote interactions has exacerbated the fact that our current technologies lack functionality and are limited in their ability to recreate interpersonal interactions. To help address these limitations in the future, we introduce “Telelife,” a vision for the near and far future that depicts the potential means to improve remote living and better align it with how we interact, live and work in the physical world. Telelife encompasses novel synergies of technologies and concepts such as digital twins, virtual/physical rapid prototyping, and attention and context-aware user interfaces with innovative hardware that can support ultrarealistic graphics and haptic feedback, user state detection, and more. These ideas will guide the transformation of our daily lives and routines soon, targeting the year 2035. In addition, we identify opportunities across high-impact applications in domains related to this vision of Telelife. Along with a recent survey of relevant fields such as human-computer interaction, pervasive computing, and virtual reality, we provide a meta-synthesis in this paper that will guide future research on remote living.
Rethinking Our Approach to Accessibility in the Era of Rapidly Emerging Technologies

Abstract:Accessibility has always played catch-up to the detriment of people with disabilities - and this appears to be exacerbated by the rapid advancements in technology. A key question becomes, can we better predict where technology will be in 10 or 20 years and develop a plan to be better positioned to make these new technologies accessible when they make it to market? To attempt to address this question, a "Future of Interface Workshop" was convened in February 2023, chaired by Vinton Cerf and Gregg Vanderheiden that brought together leading researchers in artificial intelligence, brain-computer interfaces, computer vision, and VR/AR/XR, and disability to both a) identify barriers these new technologies might present and how to address them, and b) how these new technologies might be tapped to address current un- or under-addressed problems and populations. This paper provides an overview of the results of the workshop as well as the current version of the R&D Agenda work that was initiated at the conference. It will also present an alternate approach to accessibility that is being proposed based on the new emerging technologies.

Instrumentation and Methods for Astrophysics

Abstract:The virtual meeting was a success. Several people told us that this was "the best virtual meeting they had seen so far", which, a year into the pandemic and without a commercial provider in the back, is a great success. The biggest point of criticism was the timing: We had programming from UTC 17:00-22:00 (evening and night in central Europe, afternoon on the US East Coast, during the day in South America and on the US West coast, but in the middle of the night for Asia and Australia). There is no good solution, but at least some variation in session time might go a long way to make it easier for all to attend at least some sessions. Feedback also indicates that the schedule was too compressed. Poster sessions and social contacts with the tool Gathertown worked out really well for all that used it. Our way of combining several services (Zoom for plenary and break-out rooms, Zenodo for uploading and viewing posters and proceedings, Google forms for registration and abstract submission, gathertown) allowed for a very low-cost meeting with little overhead (total cost: 600 $ for gathertown, zoom was provided through an institutional subscription, just 4 people on the LOC).

Abstract:During the SARS-CoV-2 pandemic, theoretical high-energy physics, and likely also the majority of other disciplines, are seeing a surge of virtual seminars as a primary means for scientific exchange. In this brief article, we highlight some compelling benefits of virtualizing research talks, and argue for why virtual seminars should continue even after the pandemic. Based on our extensive experience on running online talks, we also summarize some basic guidelines on organizing virtual seminars, and suggest some directions in which they could evolve.

Abstract:To combat the climate crisis, we need rapid, unprecedented social change. Scientists can play a lead role by signaling to society that we recognize the critical importance of redesigning our business-as-usual approach to research conferences. Traditional research conferences have high CO2 emissions as well as significant financial and travel time costs for participants. Using available technology, early career scientists Chelsie Counsell and Franziska Elmer created a global, virtual, coral reef research conference with live talks, recorded contributions, and networking events. Funding from The Company of Biologists allowed this event to be free, supporting attendance of 2700 subscribers and content contributions from 165 participants from diverse backgrounds and career stages. We provide metrics on content viewership and participation in networking activities, note the success of incorporating regionally focused sub-events, and discuss the emergence of a collaborative research project. We highlight the broad accessibility of virtual conferences as well as their increased flexibility in programming, health benefits, and cost savings. Our approach to organizing and hosting a global, low-carbon emission research conference is documented. Finally, we propose a hybrid approach to future conferences with virtually connected remote (sub-regional or local) hubs.

Abstract:Academic conferences are an indispensable component of contemporary science, giving researchers the opportunity to present the results of recent investigations, become familiar with other scholars' studies, and build and expand a network for future collaborations. However, the impact of the COVID-19 pandemic has caused the format of academic conferences to shift, leading virtual conferences to become increasingly popular in the academic environment. Along the way, practical online tools used to organize a virtual academic conference have attained prominence. This study evaluates the various features that service providers currently offer, having thoroughly investigated many tools that are currently on the market. The discussion categorizes these online tools into three groups based on function: event management tools, submission management tools, and online conferencing tools. The study findings contribute to conference organizers' ability to determine useful features for conducting a virtual academic conference. Moreover, the results reveal that the tools that support event and submission management can also benefit traditional scientific conferences, making this study valuable for those organizing all types of conferences, whether virtual or traditional.

Abstract:Virtual reality (VR) is an emerging technology of great societal potential. Some of its most exciting and promising use cases include remote scene content and untethered lifelike navigation. This article first highlights the relevance of such future societal applications and the challenges ahead towards enabling them. It then provides a broad and contextual high-level perspective of several emerging technologies and unconventional techniques and argues that only by their synergistic integration can the fundamental performance bottlenecks of hyper-intensive computation, ultra-high data rate, and ultra-low latency be overcome to enable untethered and lifelike VR-based remote scene immersion. A novel future system concept is introduced that embodies this holistic integration, unified with a rigorous analysis, to capture the fundamental synergies and interplay between communications, computation, and signal scalability that arise in this context, and advance its performance at the same time. Several representative results highlighting these trade-offs and the benefits of the envisioned system are presented at the end.

Abstract:Virtual Reality has the potential to change the way we work. We envision the future office worker to be able to work productively everywhere solely using portable standard input devices and immersive head-mounted displays. Virtual Reality has the potential to enable this, by allowing users to create working environments of their choice and by relieving them from physical world limitations such as constrained space or noisy environments. In this article, we investigate opportunities and challenges for realizing this vision and discuss implications from recent findings of text entry in virtual reality as a core office task.

Abstract:Meetings are typically considered to be the fuel of an organization's productivity -- a place where employees discuss ideas and make collective decisions. However, it is no secret that meetings are also often perceived as wasteful vacuums, depleting employee morale and productivity, likely due to the fact that current technologies fall short in fully supporting physical or virtual meeting experience. In this position paper, we discuss the three key elements that make a meeting successful (i.e., execution, psychological safety, and physical comfort), and present new tools for hybrid meetings that incorporate those elements. As past research has focused on supporting meeting execution (the first element), we set the roadmap for future research on the two other elements: on psychological safety by articulating how new technologies could make meeting useful for all participants, ensure all participants give and receive appropriate levels of attention, and enable all participants to feel and make others feel comfortable; and on physical comfort by dwelling on how new technologies could make the meeting experience comfortable by integrating all human senses. We also discuss the potential danger of these technologies inadvertently becoming surveillance tools.

Abstract:The idea of a Virtual Design Studio (VDS) has been around for many years. In the early days, establishing a way of transferring documents by file transfer was enough to establish a virtual design studio. Our expectations are greater now. Along with document transfer, we expect to be able to work with others at a distance as if they were in the same physical room. We have seen how email, video conferences, and shared whiteboards can provide environments in which we can do many of the things we are used to doing face to face. The internet has changed the way we communicate at a personal level and now affects the way we work professionally. Along with the new technology and the initial excitement, we have also experienced frustration when our expectations are beyond the capability for the technology to deliver. This frustration is due to the relative immaturity of software solutions to collaboration, and also due to the lack of software support for designing. We cannot just take a set of tools off the shelf and create a virtual design studio. We first need to understand what is possible in a virtual design studio, and then understand what the technology can provide. At a more fundamental level, we need to understand the differences between working in the physical presence of our collaborators and using technology to allow us to communicate at a distance.
Conferences with Internet Web-Casting as Binding Events in a Global Brain: Example Data From Complexity Digest

Abstract:There is likeness of the Internet to human brains which has led to the metaphor of the world-wide computer network as a `Global Brain'. We consider conferences as 'binding events' in the Global Brain that can lead to metacognitive structures on a global scale. One of the critical factors for that phenomenon to happen (similar to the biological brain) are the time-scales characteristic for the information exchange. In an electronic newsletter- the Complexity Digest (ComDig) we include webcasting of audio (mp3) and video (asf) files from international conferences in the weekly ComDig issues. Here we present the time variation of the weekly rate of accesses to the conference files. From those empirical data it appears that the characteristic time-scales related to access of web-casting files is of the order of a few weeks. This is at least an order of magnitude shorter than the characteristic time-scales of peer reviewed publications and conference proceedings. We predict that this observation will have profound implications on the nature of future conference proceedings, presumably in electronic form.

Abstract:A key theme in the ArtAbilitation conferences is the relationship between sound, movement, and art, and how these can be used for rehabilitation and/or expression by individuals who may have limited access to conventional communication. The development of VR environments and interactive technology has led to a variety of applications that might broadly be considered as telerehabilitation, including the use of 3D space and interactive feedback for remote assistance of users in the areas of navigation and home living. These technologies can provide access to activities and communication for individuals for whom such affordances are otherwise restricted, and can make the process of rehabilitation more engaging and motivating.
