Abstract:Scientific conferences play an important role in advancing research, scholarship, and the careers of emerging scientists. The COVID-19 pandemic offered meeting organizers and researchers alike an opportunity to reimagine what scientific conferences could look like. Virtual conferences can increase inclusivity and accessibility while decreasing costs and carbon emissions. However, it is generally perceived that the digital world fails to adequately recapitulate many of the benefits of in-person face-to-face interactions; these include socializing, and collaborative environments that can forge new research directions and provide critical career development opportunities. On November 15 and 16, 2022, researchers, representatives from diverse scientific conference organizations, leaders in virtual platform technologies, and innovators in conference design gathered online for the Open Access Keystone eSymposium "Reimagining Scientific Conferences." The meeting focused on how conference organizers can leverage lessons from the pandemic and emerging virtual platforms to engage new audiences, rethink strategies for scientific exchange, and decrease the carbon footprint of in-person events.

Abstract:With increasing concerns over climate change, scientists must imperatively acknowledge their share in CO2 emissions. Considering the large emissions associated with scientific traveling - especially international conferences - initiatives to mitigate such impact are blooming. With the COVID-19 pandemic shattering our notion of private/professional interactions, the moment should be seized to reinvent science conferences and collaborations with a model respectful of the environment. Yet, despite efforts to reduce the footprint of conferences, there is a lack of a robust approach based on reliable numbers (emissions, carbon offsetting/removals, etc.) to accompany this shift of paradigm. Here, considering a representative scientific society, the International Adsorption Society, we report on a case study of the problem: making conferences carbon neutral while respecting the needs of scientists. We first provide a quantitative analysis of the CO2 emissions for the IAS conference in 2022 related to accommodation, catering, flights, etc. Second, we conduct two surveys probing our community view on the carbon footprint of our activities. These surveys mirror each other, and were distributed two years before and in the aftermath of our triennial conference (also corresponding to pre/post COVID times). By combining the different parts, we propose ambitious recommendations to shape the future of conferences.

Abstract:International medical conferences aim to improve health outcomes, but the associated air travel-related carbon emissions are a significant contributor to the environmental impact of medical scientific activities. The COVID-19 pandemic has urged the medical world to shift towards virtual conferences, decreasing associated carbon emissions by 94% to 99%. However, virtual conferences are still not the norm and doctors are returning to business as usual. Various stakeholders need to be mobilized to minimize carbon-intensive flights to conferences. Doctors, (academic) hospitals, conference organizers and universities all hold a responsibility to incorporate every effort to decarbonize and build climate mitigation into their decisions. These efforts include sustainable travel policies, selecting accessible venues, decentralizing host locations, encouraging low carbon alternatives to air travel, increasing virtual attendance and increasing awareness.
Quantifying the climate benefits of a virtual versus an in-person format for an international conference

Abstract:Background: Academic institutions across the globe routinely sponsor large conferences. During the COVID-19 pandemic, many conferences have used all- or partially virtual formats. The conversion of the 2021 Consortium of Universities for Global Health (CUGH) conference, originally planned in-person for Houston, TX USA to an all-virtual format provided an opportunity to quantify the climate-related impacts of in-person versus virtual conferences. Methods: From the 2021 CUGH conference registration data, we determined each registrant's distance from Houston. Using widely available, open-source formulas, we calculated the carbon footprint of each registrant's round-trip drive or flight had they traveled to Houston. We assumed that registrants traveling more than 300 miles would have flown, with the remainder traveling by automobile. Results: Of 1909 registrants, 1447 would have traveled less than 4000 miles, and 389 would have traveled more than 10,000 miles round trip. Total travel-related carbon emissions were estimated at 2436 metric tons of CO2, equivalent to the conservation of 2994 acres of forest for a year. Conclusions: Organizations can now readily quantify the climate cost of annual conferences. CUGH's annual international conference, when held in-person, contributes significantly to carbon emissions. With its focus on promoting global health equity, CUGH may play a lead role in understanding the pros and cons for planetary health of in-person versus virtual conferences. CUGH and other organizations could routinely measure and publish the climate costs of their annual conferences.

Abstract:During the COVID pandemic, researchers considered whether conferences might change in permanent ways, perhaps to be held remotely or otherwise become more inclusive. The proceedings of two large scientific meetings—the International Congress for Conservation Biology (ICCB) and the annual meeting of the Ecological Society of America (ESA)—held in July and August 2023 suggest that scientific meetings have changed, but not in all the ways many thought they would. Namely, the meetings were held in-person, were expensive to attend, and contributed to the emission of greenhouse gases as scientists flew long distances to the meeting venues. Both meetings, however, emphasized diversity, inclusion, and the human context of science much more than we had seen at previous ecology and conservation conferences. The meetings provided excellent opportunities to learn about new projects and directions in ecology and conservation, and their emphasis on diversity, Indigenous science, and working with local communities brought new voices and perspectives and added to the vibrancy and quality of the meetings.

Abstract:It has been noticed that through COVID-19 greenhouse gas emissions had a sudden reduction. Based on this significant observation, we decided to conduct a research to quantify the impact of scientific conferences' air-travelling, explore and suggest alternative ways for greener conferences to re-duce the global carbon footprint. Specifically, we focused on the most popular conferences for the Artificial Intelligence community based on their scientific impact factor, their scale, and the well-organized proceedings towards measuring the impact of air travelling participation. This is the first time that systematic quantification of a state-of-the-art subject like Artificial Intelligence takes place to define its conferencing footprint in the broader frames of environmental awareness. Our findings highlight that the virtual way is the first on the list of green conferences' conduction although there are serious concerns about it. Alternatives to optimal conferences' location selection have demonstrated savings on air-travelling CO2 emissions of up to 63.9%.

Abstract:The IEEE VIS Conference (or VIS) hosts more than 1000 people annually. It brings together visualization researchers and practitioners from across the world to share new research and knowledge. Behind the scenes, a team of volunteers puts together the entire conference and makes sure it runs smoothly. Organizing involves logistics of the conference, ensuring that the attendees have an enjoyable time, allocating rooms to multiple concurrent tracks, and keeping the conference within budget. In recent years, the COVID-19 pandemic has abruptly disrupted plans, forcing organizers to switch to virtual, hybrid, and satellite formats. These alternatives offer many benefits: fewer costs (e.g., travel, venue, institutional), greater accessibility (who can physically travel, who can get visas, who can get child care), and a lower carbon footprint (as people do not need to fly to attend). As many conferences begin to revert to the pre-pandemic status quo of primarily in-person conferences, we suggest that it is an opportune moment to reflect on the benefits and drawbacks of lower-carbon conference formats. To learn more about the logistics of conference organizing, we talked to 6 senior executive-level VIS organizers. We review some of the many considerations that go into planning, particularly with regard to how they influence decisions about alternative formats. We aim to start a discussion about the sustainability of VIS -- including sustainability for finance, volunteers, and, central to this work, the environment -- for the next three years and the next three hundred years.

Abstract:New conference formats are emerging in response to COVID-19 and climate change. Virtual conferences are sustainable and inclusive regardless of participant mobility (financial means, caring commitments, disability), but lack face-to-face contact. Hybrid conferences (physical meetings with additional virtual presentations) tend to discriminate against non-fliers and encourage unsustainable flying. Multi-hub conferences mix real and virtual interactions during talks and social breaks and are distributed across nominally equal hubs. We propose a global multi-hub solution in which all hubs interact daily in real time with all other hubs in parallel sessions by internet videoconferencing. Conference sessions are confined to three equally-spaced 4-h UTC timeslots. Local programs comprise morning and afternoon/evening sessions (recordings from night sessions can be watched later). Three reference hubs are located exactly 8 h apart; additional hubs are within 2 h and their programs are aligned with the closest reference hub. The conference experience at each hub depends on the number of local participants and the time difference to the nearest reference. Participants are motivated to travel to the nearest hub. Mobility-based discrimination is minimized. Lower costs facilitate diversity, equity, and inclusion. Academic quality, creativity, enjoyment, and low-carbon sustainability are simultaneously promoted.

Main funding source(s): Special Research Fund (BOF), Hasselt University Introduction The transportation sector is one of the major sectors influencing climate change, contributing around 16% of total Greenhouse gases (GHG) emissions. Aviation contributes to 12% of the transport related emissions. Among other climate change impacts, elevated heat exposure is associated with increased cardiac events and exposure to air pollution caused by GHG emissions has also well-known association with increased cardiovascular related morbidity and mortality. The global temperature rise should be restricted to less than 2 °C which requires keeping carbon emission (CO2) less than 2900 billion tonnes by the end of the 21st century. Assuming air travel a major contributing source to GHG, this study aims to raise the awareness about potential carbon emissions reduction due to air travel of international events like a scientific conference. Purpose Due to the global pandemic of COVID-19, the Preventive cardiology conference 2020 which was planned to be held at Malaga Spain, instead was held in virtual online way. This study aims to calculate the contribution of reduced CO2 emissions in tons due to ESC preventive cardiology conference 2020, which was then held online and air travel of the registered participants was avoided. Methods Anonymized participant registration information was used to determine the country and city of the 949 registered participants of the Preventive Cardiology conference 2020. It is assumed that participants would have travelled from the closest airports from their reported city locations to Malaga airport, Spain. At first, the closest city airports were determined using Google maps and flights information, then the flight emissions (direct and indirect CO2-equivalent emissions) per passenger for the given flight distances were calculated. The CO2 emissions (tons) were calculated for round trips in economy class from the participants of 68 nationalities (excluding 60 participants from Spain as they are assumed to take other modes of transport than airplane). Results In total, 1156.51 tons of CO2 emissions were saved by turning the physical conference into a virtual event. This emission amount is equivalent to the annual CO2 production of 108 people living in high-income countries. Conclusion The pandemic situation has forced us to rethink the necessity of trips by air and has shown us the feasibility of digitally organized events. The information from this study can add to the awareness about reduced amount of carbon emission due to air travel by organizing events in a virtual way when possible. Apart from only digitally organized events there are others options to reduce the carbon footprint of conferences such as limiting the number of physical attendees, encouraging the use of relatively sustainable transport modes for participants from nearby countries (e.g. international trains and use of active transport modes at conference venue etc.) and including CO2 emission offsetting costs.

Abstract:The COVID-19 pandemic disrupted medical conferences, where restrictions on public gatherings resulted in the postponement or cancellation of in-person meetings. Virtual events emerged as a substitute, providing a mechanism for scientific collaboration and continuing medical education with the additional benefit of low environmental impact. However, digital events may not meet all the needs of delegates, such as professional networking and social connection. In this report, we describe the methods used to minimise the carbon footprint of the 2023 Australian and New Zealand College of Anaesthetists' Annual Scientific Meeting, a conference with approximately 2000 in-person and 500 virtual delegates. A core group led the initiative, with all conference participants invited to contribute to this goal. A prospective prediction of carbon generation was undertaken, followed by the implementation of strategies to minimise and then measure the total carbon footprint of the event. Post-event calculations assessed the conference as better than carbon-neutral; however, delegate travel was not included in the analysis and therefore this result is tempered. Off-site workshops including virtual offerings were also not included in the analysis. We encourage medical conference organisers to collaborate with all stakeholders to embed low carbon-generation choices for their meetings where education, networking and social needs are also met.

Abstract:ABSTRACT The third International Student Symposium on Animal Behaviour and Cognition (ISSABC) aimed to address barriers for early career researchers, hosting a conference both in-person and online at the Universidad Nacional Autónoma de México (UNAM). The conference, attended by 101 in-person and 79 virtual participants from 24 countries, featured 81 presentations, 29 posters, five plenary talks, three workshops, and a career development round-table discussion. A user-friendly website and digital platforms facilitated communication and real-time discussions between in-person and online participants. Transparent fund management, support from sponsors and societies, and sustainable practices ensured financial accountability and minimised environmental impact. The conference emphasised sustainability measures, including eco-friendly catering and local reusable mugs. Future organisers of similar events are encouraged to prioritise local representation, plan contingencies, select plenary speakers rigorously, and employ effective marketing. With this meeting review, we highlight how hybrid conferences like the third ISSABC, through innovative approaches and sustainable practices, enhance accessibility, inclusivity, and empower the next generation of scientists.

This article reviews experiences organising and participating in virtual conferences during the COVID-19 pandemic between 2020-2021. Thanks to the broader scope of the Dagstuhl seminar on 'Climate Friendly Internet Research' held in July 2021, here we focus the discussion on state-of-the-art in technologies and practices applied in online events such as conferences, teaching, and other meetings and identify approaches that are successful as well as others that need improvement. Abstract:The COVID-19 pandemic caused worldwide disruptions and changes, including in the way research was conducted. One aspect was the cancellation of in-person scientific conferences and the rapid replacement of some into virtual conferences. The aim of this study is to highlight the opportunities that virtual conferences can bring to animal behaviour and welfare research, with a focus on regional diversity and early career researchers (ECRs). The ISAE 2020 virtual meeting was used as a case study. Firstly, conference attendance was compared to the ISAE 2019 in-person international congress. Secondly, a post-conference survey was conducted (n = 142 responses). Data were analysed quantitatively (multinomial models) and qualitatively (word classifications). The organisation by geographical region attracted many non-local attendees and positive feedback was received on the global perspective. The participation from the ISAE developing regions AFRICA (Africa/Central Asia/Middle East), ASIA (South/East/Southeast Asia) and LATAM (Latin America) was higher as compared to the in-person conference (p < 0.001). The most valued advantage for the virtual conference was the reduced cost, followed by the increased ability to participate and the reduced environmental footprint. The most valued advantages did not differ between regions or attendees of different career stages, but an interaction showed that the ability to participate was more appreciated by ECRs in developing regions (p < 0.05). Over 75 % of the respondents ranked the absence of social interaction as the most important disadvantage. Respondents from developed regions were more likely to attend a future virtual conference with a registration fee as compared to those from developing regions (p < 0.05). Respondents most enjoyed the organisation, flexibility, quality of presentations and regional diversity from their virtual experience. This study showed that within applied animal behaviour and welfare science, the virtual format of an international conference can promote participation from diverse regions, especially from less financially privileged groups, but attention should be paid to enhance the social element of a virtual conference.

Transforming a doctoral summer school to an online experience: A response to the COVID-19 pandemic

Abstract:For the last 28 years, one of the leading international science education organisations has regularly provided a week-long summer school experience for doctoral students. In summer 2020, the COVID-19 pandemic prevented international travel and close-contact interactions between scholars. This required the transformation and relocation of learning interactions between mentors and doctoral students online through a virtual week-long summer school. All doctoral participants, from across the five continents, were invited to reflectively comment on their educative experience after the online event. This paper consequently presents the perspectives of these science education PhD students who engaged with the transformed virtual summer school to consider how the range of varied online interactions maintained the learning opportunities for them and enabled their introduction to an established research community. The study indicates how the digital activities facilitated and maintained high-quality learning exchanges through a varied array of intellectual activities involving both experienced and novice scholars. The findings demonstrate how successful academic outcomes can be achieved remotely while minimising international travel and significantly reducing financial outlay. This was achieved through creatively structuring a week-long virtual experience and combining a series of synchronous and asynchronous learning opportunities for different groupings of participants within the international summer school community.
