Once again, the ICoSR research community cannot meet in person, because of the COVID-19 pandemic; originally, we planned and hoped for at least a hybrid conference to be hosted in Xishuangbanna, China. In order to create safe, meaningful, and wanted human-robot interactions for people and society, to create new ways of thinking about our future lives with robotic technology, virtual conference is essential. The ICoSR Conference is presenting topquality research and the virtual format might even allow us to attract and include more people who would not have the opportunity to travel to China.

Abstract:Conferences are a key place for training and education. Attendees learn about the state of the art of their field, about relevant methods, and acquire networking skills that can support their work. In the world that was changed by the COVID-19 pandemic, we often need to organize hybrid training and education events, including conferences, with both in-person and remote attendees. Both organizers and attendees are eager for events that are productive, safe, and that bring together a diverse group of our colleagues, across multiple fields of study, multiple countries, as well as with different capacities to travel and attend in-person and remote meetings. However, the best practices for such hybrid events are still under development. In this document we hope to contribute to this development of best practices: we report on our experiences in organizing a small, hybrid conference, and provide the lessons we learned through this process.

Abstract:New conference formats are emerging in response to COVID-19 and climate change. Virtual conferences are sustainable and inclusive regardless of participant mobility (financial means, caring commitments, disability), but lack face-to-face contact. Hybrid conferences (physical meetings with additional virtual presentations) tend to discriminate against non-fliers and encourage unsustainable flying. Multi-hub conferences mix real and virtual interactions during talks and social breaks and are distributed across nominally equal hubs. We propose a global multi-hub solution in which all hubs interact daily in real time with all other hubs in parallel sessions by internet videoconferencing. Conference sessions are confined to three equally-spaced 4-h UTC timeslots. Local programs comprise morning and afternoon/evening sessions (recordings from night sessions can be watched later). Three reference hubs are located exactly 8 h apart; additional hubs are within 2 h and their programs are aligned with the closest reference hub. The conference experience at each hub depends on the number of local participants and the time difference to the nearest reference. Participants are motivated to travel to the nearest hub. Mobility-based discrimination is minimized. Lower costs facilitate diversity, equity, and inclusion. Academic quality, creativity, enjoyment, and low-carbon sustainability are simultaneously promoted.

Abstract:Scientific conferences play an important role in advancing research, scholarship, and the careers of emerging scientists. The COVID-19 pandemic offered meeting organizers and researchers alike an opportunity to reimagine what scientific conferences could look like. Virtual conferences can increase inclusivity and accessibility while decreasing costs and carbon emissions. However, it is generally perceived that the digital world fails to adequately recapitulate many of the benefits of in-person face-to-face interactions; these include socializing, and collaborative environments that can forge new research directions and provide critical career development opportunities. On November 15 and 16, 2022, researchers, representatives from diverse scientific conference organizations, leaders in virtual platform technologies, and innovators in conference design gathered online for the Open Access Keystone eSymposium "Reimagining Scientific Conferences." The meeting focused on how conference organizers can leverage lessons from the pandemic and emerging virtual platforms to engage new audiences, rethink strategies for scientific exchange, and decrease the carbon footprint of in-person events.

Abstract:In a departure from the increasingly familiar virtual meetings conducted via collaboration apps the Fourteenth Annual European CME Forum (#14ECF) took place between 3 and 5 November 2021 using a blended model that relied mainly on a studio-based hub. A small group of faculty hosted plenary sessions in the studio with participation by attendees, panellists and workshop leaders via an interactive online meeting platform. The theme of the meeting was "The 3-legged stool: Achieving balance for effective CME. The plenaries focused on three linked topics, Rules and Regulations, Educational Design and Outcomes, and Funding and Independence. These were broadcast in high definition whilst interaction among participants, workshop leaders, and poster authors was achieved using an avatar-based conferencing platform. The breakout workshops covered topics including digital literacy, international collaboration, artificial intelligence, and diversity and inclusion. The meeting format was well accepted by participants and will form the basis for more hybrid-type meetings for future meetings.

Abstract:Since the beginning of 2020, the coronavirus disease (COVID-19) pandemic has dramatically influenced almost every aspect of human life. Activities requiring human gatherings have either been postponed, canceled, or held completely virtually. To supplement lack of in-person contact, people have increasingly turned to virtual settings online, advantages of which include increased inclusivity and accessibility and a reduced carbon footprint. However, emerging online technologies cannot fully replace in-person scientific events. In-person meetings are not susceptible to poor Internet connectivity problems, and they provide novel opportunities for socialization, creating new collaborations and sharing ideas. To continue such activities, a hybrid model for scientific events could be a solution offering both in-person and virtual components. While participants can freely choose the mode of their participation, virtual meetings would most benefit those who cannot attend in-person due to the limitations. In-person portions of meetings should be organized with full consideration of prevention and safety strategies, including risk assessment and mitigation, venue and environmental sanitation, participant protection and disease prevention, and promoting the hybrid model. This new way of interaction between scholars can be considered as a part of a resilience system, which was neglected previously and should become a part of routine practice in the scientific community.

Abstract:The 2024 2nd International Conference on Computer, Machine Learning and Artificial Intelligence (CMLAI 2024) had been held during March 09-10, 2024 in San Francisco, USA. CMLAI 2024 is an international forum devoted specifically to facilitate synergies in research and development in the areas of computer science, machine learning, neural networks, algorithm design, and artificial intelligence. It provides the communication platform for those who are leading experts and scholars from around the world. The development of artificial intelligence and their corresponding technologies and industries has also been regarded as "national development strategy" for the world's leading countries and gradually developed into a new "trump card" in the game between countries. This conference was attended by over 100 researchers, scholars, academic and industry experts from many countries. During the two-day conference, 4 keynote speeches with topics on cloud computing, machine learning, neural networks, and artificial intelligence were delivered. And 36 oral and invited presentations were presented and discussed in-depth in 4 technical sessions, with interactive communication among the attendees. Abstract:This feature issue of JOSA A and Applied Optics is dedicated to the fourteenth OSA Topical Meeting "Digital Holography and 3D Imaging" held 22-26 June 2020 in a virtual meeting. The conference, taking place every year, is a focal point for global technical interchange in the field of digital holography and 3D imaging, providing premier opportunities for people working in the field to present their new advances in research and development. Papers presented at the meeting highlight current research in digital holography and three-dimensional imaging, including interferometry, phase microscopy, phase retrieval, novel holographic processes, 3D and novel holographic displays, integral imaging, computer-generated holograms, compressive holography, 3D holographic display, AR display, full-field tomography, specific image and signal processing, and holography with various light sources, including coherent to incoherent and x-ray to terahertz waves. Abstract:The virtual meeting was a success. Several people told us that this was "the best virtual meeting they had seen so far", which, a year into the pandemic and without a commercial provider in the back, is a great success. The biggest point of criticism was the timing: We had programming from UTC 17:00-22:00 (evening and night in central Europe, afternoon on the US East Coast, during the day in South America and on the US West coast, but in the middle of the night for Asia and Australia). There is no good solution, but at least some variation in session time might go a long way to make it easier for all to attend at least some sessions. Feedback also indicates that the schedule was too compressed. Poster sessions and social contacts with the tool Gathertown worked out really well for all that used it. Our way of combining several services (Zoom for plenary and break-out rooms, Zenodo for uploading and viewing posters and proceedings, Google forms for registration and abstract submission, gathertown) allowed for a very low-cost meeting with little overhead (total cost: 600 $ for gathertown, zoom was provided through an institutional subscription, just 4 people on the LOC).

Abstract:The Optica Topical Meeting on Digital Holography and 3D Imaging (DH) was held 14–17 August 2023 in Boston, Massachusetts. The meeting was organized co-jointly with the Optica Imaging Congress. Feature issues based on the DH meeting series have been released by Applied Optics (AO) since 2007. Since 2017, AO and the Journal of the Optical Society of America A (JOSA A) have presented a feature issue in each journal. This feature issues includes 17 papers in AO and 9 in JOSA A. Together they cover a large range of topics, reflecting the rapidly expanding techniques and applications of digital holography and 3D imaging. The upcoming DH Conference (DH 2024) will be held from 3 to 6 June in Paestum, Italy.

Abstract:Abstract As the global health crisis unfolded, many academic conferences moved online in 2020. This move has been hailed as a positive step towards inclusivity in its attenuation of economic, physical, and legal barriers and effectively enabled many individuals from groups that have traditionally been underrepresented to join and participate. A number of studies have outlined how moving online made it possible to gather a more global community and has increased opportunities for individuals with various constraints, e.g., caregiving responsibilities. Yet, the mere existence of online conferences is no guarantee that everyone can attend and participate meaningfully. In fact, many elements of an online conference are still significant barriers to truly diverse participation: the tools used can be inaccessible for some individuals; the scheduling choices can favour some geographical locations; the set-up of the conference can provide more visibility to well-established researchers and reduce opportunities for early-career researchers. While acknowledging the benefits of an online setting, especially for individuals who have traditionally been underrepresented or excluded, we recognize that fostering social justice requires inclusivity to actively be centered in every aspect of online conference design. Here, we draw from the literature and from our own experiences to identify practices that purposefully encourage a diverse community to attend, participate in, and lead online conferences. Reflecting on how to design more inclusive online events is especially important as multiple scientific organizations have announced that they will continue offering an online version of their event when in-person conferences can resume.
